Challenges

Unstructured handoffs resulted in 8-10 “same-day” tasks, constituting 9% of their daily volume, being overlooked. This oversight had a direct impact on title launch deadlines.

Approximately 50 pending requests, or about 15% of daily tasks, went untracked, leading to miscommunication and costly delays in production schedules.

The team struggled to sort through over 1500 emails each day, which severely hindered timely and accurate task prioritization, leaving them scrambling to keep up with demands.

Introduced structured discussions at the end of each shift to ensure tasks were prioritized with precision, giving clear direction on critical responsibilities. These regular check-ins played a key role in keeping title launches timely and accurate.
A process was implemented where outgoing Quality Managers (QMs) highlighted high-priority tasks within the email overload, especially those tied to urgent title launches. This collaboration effectively minimized the risk of critical tasks slipping through the cracks.
A robust task-tracking system was developed using Google Sheets, providing a clear, organized view of all active projects and upcoming deadlines. The enhanced visibility streamlined workflow management and kept everyone aligned.
